This Privacy Policy explains how Toastmasters District 84 ("District 84," "we," "us," or "our") collects, uses, and protects information when you use district84.org and the member tools hosted on it (the "Site"). District 84 is a district of Toastmasters International, run by volunteer member-leaders. We built this Site to serve our members and the public who want to learn about Toastmasters in our area — not to profit from your data.
The short version
- We never sell, rent, or trade your personal information — not now, not ever.
- We do not run advertising networks, behavioral tracking, or third-party analytics on this Site.
- The only cookies we set ourselves are the essential ones that keep you logged in and keep the Site secure.
- We collect the information needed to run the district and deliver the Toastmasters program — and not much else.
- You can view and update much of your information yourself, and you can ask us about the rest.
1. Who this policy applies to
This policy applies to visitors to the Site and to members who sign in to the member tools. The Site is intended for residents of the United States and is operated for a U.S.-based district; it is not directed at residents of the European Union or other regions with separate data-protection regimes.
2. Information we collect
We collect the following kinds of information:
- Membership information provided to Toastmasters International when you join — such as your name, contact details, club and officer roles, and Toastmasters member number — which is made available to your district so we can serve you.
- Information you give us directly — for example, updates you make to your member profile, event registrations and RSVPs, program or contest submissions, photos or posts you choose to publish, and messages you send us.
- Technical information automatically recorded by our web server, such as your IP address, browser type, and the pages you request, kept in standard server logs to operate and secure the Site.
Your Toastmasters member number is used internally as the identifier that matches you to your membership record — for example, to keep your profile, club assignment, and officer roles accurate across the district. We also use it to prepare official reports to Toastmasters International, such as documenting training you have completed and recognition you have earned. We keep your member number confidential: it is not displayed on public profiles or shared with anyone outside of Toastmasters.
3. How we collect information
We collect information in three ways: directly from you when you fill in a form or edit your profile; automatically through your Toastmasters membership record; and automatically through routine web-server logging. We do not buy personal information about you from data brokers.
4. How we use your information
We use your information to:
- operate the Site and provide the member tools and district services;
- communicate with you about your account, your registrations, and district business you have asked to take part in;
- recognize achievements, manage programs and events, and keep accurate district and club records;
- keep the Site secure and troubleshoot problems; and
- meet recordkeeping and legal obligations as a part of Toastmasters International.
We send transactional messages (for example, a registration confirmation or a password reset) and communications you have opted into. We do not send unsolicited mass marketing email to members.
5. We never sell your information
District 84 does not and will not sell, rent, lease, or trade your personal information to anyone, for any purpose. We do not share your information with third parties for their own marketing, and we do not participate in targeted-advertising or data-brokering arrangements.
6. How we share information
We share information only as needed to run the district:
- Within Toastmasters — with Toastmasters International, and with district, division, area, and club leaders, so they can serve members. This includes reporting member participation, completed training, and recognition to Toastmasters International, identified by your member number. Certain profile details are visible to fellow members where that is part of how clubs and the district operate.
- With service providers who help us run the Site — for example, our email-delivery provider, and the providers of maps and forms we embed — limited to what they need to perform that service.
- For legal and safety reasons — when required by law, to enforce our terms, or to protect the rights, property, or safety of members, the public, or the district.
We may share aggregated or de-identified information (which cannot reasonably be used to identify you) without restriction.
7. Cookies and tracking
Cookies are small files a website stores in your browser. The cookies we set are limited to those that are strictly necessary to run the Site:
- a session cookie that keeps you signed in as you move between pages; and
- a security token that protects forms against cross-site request forgery.
These essential cookies do not track you across other websites and are required for the Site to work. We do not use analytics, advertising, or behavioral-tracking cookies.
Some pages embed content from third parties — such as an interactive map (Google Maps), embedded forms (JotForm), web fonts, or videos. When you load a page containing these, the third party may set its own cookies under its own privacy policy. We include such embeds only where they serve a clear purpose, and only on the pages where that content appears.
8. Your choices and rights
You can review and update much of your information directly in My Profile. You may also ask us to access, correct, or delete personal information we hold about you, or to limit how we use it. Because we are part of Toastmasters International, some records must be retained for membership, recognition, and legal reasons, so certain requests may be limited by those obligations. 9. Data security
We use reasonable physical, technical, and administrative safeguards to protect your information, including encrypted (HTTPS) connections and access controls that limit who can see member data. No method of transmission or storage is perfectly secure, however, so we cannot guarantee absolute security. Please keep your password confidential and do not share your account.
10. How long we keep information
We keep personal information for as long as needed to provide district services, maintain accurate Toastmasters records, and meet legal and recordkeeping obligations. When information is no longer needed for those purposes, we remove or de-identify it in line with applicable requirements.
11. Children's privacy
The Site is intended for adult Toastmasters members and the general public. We do not knowingly collect personal information from children under 18 without appropriate consent. If you believe a child has provided us information, please contact us and we will take appropriate steps.
12. Links and embedded content from other sites
The Site may link to or embed content from other websites, including Toastmasters International. We are not responsible for the privacy practices of those sites and services. We encourage you to review the privacy policy of any third-party site you visit.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and post the new version on this page. Your continued use of the Site after a change means you accept the updated policy.
